Business taxi to Schiphol: invoice and VAT

Business taxi travel requires a complete invoice stating the carrier, customer, journey date, amounts and VAT. Dutch passenger transport falls under the 9% VAT rate; whether input VAT is deductible depends on your circumstances and should be checked with your accountant.

Business travel to Schiphol: the paperwork has to be right

A business ride to the airport is only truly sorted when the invoice is correct. This guide explains which details belong on a taxi invoice, which VAT rate applies and how to process the cost.

Which VAT rate applies to taxi transport?

Passenger transport falls under the reduced 9% VAT rate. Your invoice shows the fare including VAT, with the VAT amount specified separately. For airport transport within the Netherlands this is 9%, regardless of the time of the ride.

What belongs on a correct invoice?

An invoice your bookkeeping will accept without questions contains at least:

    • Name, address and VAT number of the carrier (ours: NL003145302B59) and the Chamber of Commerce number (76919641)
    • Your company name and billing address
    • Invoice number and invoice date
    • Date of the ride, pickup and drop-off address
    • Amount excluding VAT, the VAT amount (9%) and the total
    • Payment method and payment date

All our invoices are generated automatically and emailed once payment completes. You can also find and download them at any time in the customer portal.

    How to expense the ride

    1. Book in the company's name. Enter the company name and billing address when booking.
    2. Store the invoice digitally. The invoice from our email is valid for your records.
    3. Link the ride to a project or cost centre. Add the project number in the notes field.
    4. VAT as input tax. VAT on business passenger transport is generally deductible for businesses. Your situation may differ — check with your accountant.

Fixed price means a predictable budget

With a meter you only know the amount afterwards, which complicates budgets. We work with a fixed price per vehicle that you see and pay online in advance, with no night, weekend or luggage surcharge. For recurring routes that means a fixed, plannable amount per ride.

    Transporting several employees or guests

Regularly moving colleagues, clients or speakers? A business arrangement is more practical than separate bookings:

    • One contact person for all changes
    • Monthly consolidated invoice instead of separate invoices
    • Fixed rates for your most frequent routes
    • Minibus for up to 8 people, with luggage space

See our business page or request a rate card via contact.

    Common mistakes

    • Booking under a private name and asking for a company invoice afterwards — provide company details upfront.
    • Leaving out the flight number on an airport pickup, which disables automatic flight tracking.
    • Expecting to pay cash: we work with online payment only, precisely because it produces an invoice and payment proof automatically.

Calculate your price now for a fixed-price taxi to Schiphol via our online form. Flight tracking, 70 min free waiting after landing and free cancellation up to 6 hours before pickup.
